PlayQuort Booking, Cancellation, Rescheduling and Refund Policy
Effective: August 19, 2026 · Version 1.0
This Policy applies to court/facility reservations, Regular Open Play registrations, and Competition Open Play registrations made through PlayQuort where the applicable feature uses booking, entry-fee, cancellation, rescheduling, or refund functionality. Individual venues or competition organizers may establish their own lawful conditions. The specific rules shown before a user confirms a reservation or joins a session form part of the conditions applicable to that transaction.
1. Booking requests
Users may select a sport, venue, court/table/facility, date, time, duration, number of participants, and other available options. A booking may be pending, confirmed, rejected, cancelled, completed, or otherwise assigned a status supported by the Platform. Where venue approval is required, submission does not guarantee confirmation.
2. Booking confirmation
Before confirming, users should review the sport, venue, facility, date, time, duration, participants, price, cancellation cutoff, rescheduling cutoff, maximum reschedules, and refund policy. By confirming the reservation, the user acknowledges the conditions displayed.
3. Availability
Availability may change because of existing reservations, blocked schedules, maintenance, venue closures, owner restrictions, emergencies, or other operational circumstances. PlayQuort uses reasonable measures intended to prevent conflicting reservations.
4. Venue approval
Some venues require approval before a booking becomes confirmed. Users may receive notifications when a booking is approved, rejected, cancelled, or rescheduled.
5. Player cancellation
Each venue may determine whether cancellation is allowed and may set a cancellation cutoff. For example, a venue may require cancellation at least two hours before the scheduled booking. If a cutoff has passed, PlayQuort may prevent automatic cancellation. Exceptional circumstances may be handled separately.
6. Venue cancellation
A venue may cancel because of maintenance, facility damage, unsafe conditions, weather, flooding, power interruption, emergency closure, scheduling problems, or other legitimate operational reasons. The venue should notify affected users as soon as reasonably possible and follow applicable refund, credit, or rescheduling procedures.
7. Rescheduling
Venues may permit rescheduling and may set a rescheduling cutoff and maximum number of reschedules. The requested replacement time must be available. PlayQuort may prevent rescheduling if another booking exists, the facility is blocked, the venue is closed, the time is outside operating hours, the cutoff has passed, or the reschedule limit has been reached.
8. Approval after rescheduling
Where venue approval is required, a rescheduled booking may return to Pending status and the new schedule becomes confirmed only after applicable approval requirements are completed. While the new time is under review, the previous booking time remains reserved. If the venue rejects the requested new time, the previous schedule is restored and remains active until the player cancels the booking or submits another available schedule.
9. Refund policies
Venues may use policies such as:
- Manual Refund Review: refund eligibility is reviewed according to the circumstances.
- Full Refund Before Cutoff: a qualifying cancellation before the applicable cutoff may receive a full refund, subject to payment requirements and applicable law.
- No Voluntary Refund: voluntary player cancellations may be non-refundable where permitted by law.
A “No Refund” policy does not remove rights or remedies that cannot lawfully be waived.
10. PlayQuort reservation fee during beta
During the current beta payment model, when an applicable paid booking or Open Play transaction uses PlayQuort's reservation-fee flow, PlayQuort collects a mandatory reservation fee equal to five percent (5%) of the displayed booking total or per-player entry fee before the paid reservation or registration is confirmed. The fee is part of the displayed total or entry fee. Checkout should show the total, the amount payable to PlayQuort, and the remaining amount payable directly to the venue or organizer.
When a player starts payment, PlayQuort may temporarily hold the selected court and time so that another player cannot reserve the same slot while payment is in progress. QR Ph payment sessions are time-limited. If payment is not successfully confirmed within the payment window and short technical grace period, the hold may expire and the slot may become available again.
The booking request is not considered created merely because a QR code is displayed or because the browser reports success. PlayQuort must receive or independently verify successful payment confirmation from PayMongo before converting the temporary hold into a booking request.
10A. Regular and Competition Open Play payments
For a paid Regular Open Play or Competition Open Play session, the venue or organizer controls the displayed per-player entry fee, subject to applicable law and Platform rules. Under the current beta flow, a player who receives an available paid spot pays the PlayQuort reservation fee first and the remaining balance is payable directly to the venue or organizer. A free session does not require a PlayQuort reservation-fee payment.
Joining a waitlist does not by itself guarantee a spot. Where the Platform promotes a waitlisted player into a paid spot, the player may be required to complete the applicable PlayQuort reservation fee before the registration becomes confirmed.
11. Remaining balance payable to venue
During beta, PlayQuort does not collect or remit the remaining venue or organizer balance. After the applicable 5% PlayQuort reservation fee is paid, the remaining balance shown at checkout is payable directly to the venue or organizer according to their instructions or on-site payment arrangements. PlayQuort does not hold that remaining balance and cannot automatically refund money paid directly to the venue or organizer.
11A. Reservation-fee refunds
If the venue rejects a booking request after the PlayQuort reservation fee has been collected, the collected PlayQuort reservation fee should be eligible for refund, subject to payment-provider processing times and applicable law. For player-initiated cancellations, eligibility follows the refund policy and cutoff stored with that booking. During beta, some PayMongo refunds may require manual administrative processing and may not appear immediately.
11B. Competition cancellation and refund responsibility
Competition Open Play may also be subject to the competition-specific cancellation, withdrawal, replacement-player, no-show, and refund rules displayed by the organizer. Organizer rules cannot remove rights or remedies that cannot lawfully be waived.
If the organizer cancels a paid competition, rejects a registration after the PlayQuort reservation fee was collected, or cannot provide the advertised session because of an organizer-controlled issue, the PlayQuort reservation fee should be eligible for appropriate review and refund where required by the applicable policy or law. Any remaining amount paid directly to the venue or organizer must ordinarily be refunded or otherwise resolved by that venue or organizer because PlayQuort did not receive or hold those funds.
A participant-initiated withdrawal may be non-refundable after an applicable cutoff where permitted by law and clearly disclosed before joining. Exceptional safety, payment, or technical circumstances may be reviewed separately.
12. No-shows and late arrival
A user who fails to attend a confirmed reservation without cancelling may be treated as a no-show under the venue's rules. Repeated abuse may result in booking restrictions. Late arrival does not automatically extend a reservation beyond its scheduled end time.
13. Weather and unsafe conditions
Outdoor facilities may be affected by rain, heat, storms, flooding, or other conditions. The venue is responsible for deciding whether its facility remains operational. Applicable venue refund, credit, or rescheduling rules should be followed, subject to applicable law.
14. Booking policy changes
Venue owners may update policies for future bookings. PlayQuort may store a snapshot of the venue policy applicable when a booking was made so later policy changes do not silently replace the recorded conditions for that booking.
15. Disputes
Users should first contact the relevant venue regarding venue-specific concerns. Competition concerns may also be submitted through PlayQuort's Competition Incident reporting feature where available. Platform-related concerns may be submitted to PlayQuort support. Users should provide the booking or competition reference, venue, sport, date, description of the issue, and relevant evidence where available. Nothing in this Policy removes remedies available under applicable Philippine law.
16. Electronic acceptance
Before completing a booking or joining a Competition Open Play, PlayQuort may require users to confirm that they reviewed the applicable details and agree to this Policy, venue-specific rules, competition rules, or competition-specific terms. PlayQuort may record the user ID, booking or session reference, policy version, acceptance date and time, IP address, and browser/device information.
