3. Purposes of processing
We may process information to create and maintain accounts, verify email addresses, facilitate bookings, prevent scheduling conflicts, allow owners to manage venues, process cancellations and rescheduling, send transactional notifications, verify venue operators, maintain security, prevent fraud, facilitate Open Play and Competition Open Play, record competition-rule and safety acknowledgments, review competition incident reports, respond to support requests, maintain records, improve the Platform, and comply with applicable legal obligations.
3A. Competition participation and legal acknowledgments
When a user joins Competition Open Play, PlayQuort may store the competition session, venue, organizer notice, competition rules or a snapshot/hash of those rules, policy versions, acceptance date and time, IP address, browser/device information, and related participation records. These records may be retained to operate the competition, resolve disputes, protect Platform security, and document what terms or rules were presented and accepted.
3B. Competition incident reports and sensitive information
Competition incident reports may include safety, injury, harassment, conduct, payment, prize, or dispute information. A user should provide only information reasonably necessary to explain the incident and should not submit passwords, payment-card numbers, government ID numbers, or unrelated sensitive information.
If a user voluntarily provides health or injury information in an incident report, that information may constitute sensitive personal information. PlayQuort will process it only as reasonably necessary to receive, assess, document, respond to, or escalate the reported incident, subject to applicable law and any consent or other lawful basis required for the processing.
4. Verification documents
Verification documents are collected to assess a venue owner's identity and authority to represent a venue. Access should be restricted to authorized personnel who need the information for legitimate verification, security, legal, or compliance purposes. Government IDs and private verification documents are not intended for public display.
5. Data minimization
PlayQuort aims to collect only information reasonably necessary for the purposes described in this Policy. Users should avoid uploading unnecessary sensitive or personal information.
6. Legal bases and consent
Depending on the circumstances, processing may be necessary to provide requested services or perform a transaction, comply with applicable law, protect legitimate Platform interests that do not override individual rights, or be based on consent where consent is required. Electronic acceptance records may be retained as evidence of consent or agreement where applicable.
7. Marketing communications
Registration does not automatically require users to agree to promotional marketing. Where marketing is offered, PlayQuort may provide a separate optional choice. Users may unsubscribe from promotional communications. Transactional messages necessary for accounts, bookings, cancellations, rescheduling, security, or important service notices may still be sent.
8. Information sharing
Venue operators: a booked venue may receive information reasonably necessary to fulfill a reservation, such as player name, booking reference, date, time, number of participants, and necessary contact information.
Competition organizers: the organizer of a Competition Open Play may receive participant information reasonably necessary to operate the competition, apply eligibility or competition rules, manage check-in, handle safety or conduct concerns, and resolve event-specific issues.
Incident handling: information from a competition incident report may be shared with the relevant organizer, venue operator, affected user, insurer, service provider, adviser, or government/legal authority when reasonably necessary to investigate, respond to, protect safety, establish or defend legal claims, or comply with applicable law. Access should be limited to information reasonably necessary for the purpose.
Service providers: PlayQuort may use providers for hosting, email delivery, mapping, analytics, payments, security, or cloud infrastructure. Providers should receive only information reasonably necessary for their services.
Government or legal authorities: information may be disclosed where required or permitted by applicable law or lawful legal process.
9. Public venue information
Venue names, general locations, sports offered, facility information, operating hours, prices, photos, amenities, and availability may be publicly displayed. Private verification documentation is not intended to be public.
10. Data retention
Information is retained only as long as reasonably necessary to provide services, maintain booking and transaction records, resolve disputes, prevent fraud, satisfy legal obligations, and protect legitimate legal interests. Competition acceptance and incident records may be retained for a reasonable period where needed for event administration, dispute resolution, fraud prevention, safety review, or legal claims. Verification documents should be reviewed periodically and deleted or securely archived when no longer reasonably required.
11. Security
PlayQuort uses reasonable organizational and technical measures designed to protect personal information. These may include password hashing, role-based access controls, restricted verification-document access, randomized upload filenames, file-type restrictions, secure connections, database controls, activity logging, and software updates. No online service can guarantee absolute security.
12. Security incidents
If a security incident involving personal information occurs, PlayQuort will assess the incident and take appropriate action. Notifications will be made where required by applicable law.
13. Privacy rights
Subject to applicable law, users may have rights to be informed, access personal information, request correction, object to certain processing, request blocking or deletion where available, withdraw consent where processing relies on consent, obtain data portability where applicable, and seek remedies for unlawful processing. We may need to verify identity before acting on a request.
14. Account deletion
Users may request account deletion. Certain booking, payment, fraud-prevention, security, dispute, or legal records may need to be retained after account closure where retention is required or reasonably justified.
15. Cookies and similar technologies
PlayQuort may use cookies or similar technologies for login sessions, security, preferences, functionality, analytics, and service improvement. Appropriate information or choices may be provided for non-essential technologies where required.
16. Third-party services
